Manager - Site Contracts
JOB DESCRIPTION
Ledger Run is seeking a Manager of Site Contracts to take full ownership of the contract and budget negotiation process across assigned clinical studies. In this role, you will serve as the central point of accountability — bridging internal negotiator teams, Sponsors, and CROs to drive every site from initial outreach to fully executed agreement.
This is a management-level position that demands a deep understanding of clinical site contracting, sharp QC instincts, and the organizational discipline to keep complex, multi-site studies on track. You will be expected to know the status of every site on your study at any given time, lead weekly Sponsor and CRO meetings with confidence, and step in decisively when negotiations stall or escalations arise.
QUALIFICATIONS & EXPERIENCE

Minimum 3 years of experience negotiating global site contracts in a clinical research setting

Minimum 2 years of experience leading or managing global site contract operations

Strong working knowledge of global site contract requirements and practices, including country-specific legal, regulatory, and institutional considerations

Prior experience in a lead or management role overseeing negotiators or a contract team

Demonstrated ability to manage a high volume of sites and concurrent workstreams with precision and accountability

Exceptional QC skills — thorough, accurate, and detail-oriented when reviewing legal and financial documents

Strong communicator who can present clearly and with authority to Sponsor and CRO stakeholders in both scheduled and ad hoc settings

Proactive approach to identifying gaps and a proven track record of resolving blockers before they become escalations

Organized and self-directed with the ability to prioritize effectively across a complex, fast-moving study portfolio

Experience working with document management systems and study/contract repositories

Comfortable operating across global time zones and adapting to evolving study demands
DUTIES & RESPONSIBILITIES
Study oversight

Own end-to-end accountability for all contract and budget negotiations across your assigned study portfolio

Conduct weekly reviews of the study tracker to identify communication or progress gaps at the site level, and immediately engage the appropriate negotiator to resolve them

Review and update Planned Fully Executed dates on a weekly basis to ensure accurate forecasting
Negotiator support & performance

Provide hands-on support to negotiators to keep contracts moving forward on schedule

Follow up with negotiators on outstanding items following the Project Associate's initial outreach; escalate unresponsive negotiators to the Executive Director as needed

Work with the Executive Director to ensure negotiators have adequate backup coverage during periods of absence
Escalation management

Review all legal, budget, and clinical escalations from negotiators prior to Sponsor submission

Assess whether escalations can be resolved internally or require Sponsor involvement

Format and prepare all Sponsor escalations before sending
Sponsor & CRO collaboration

Serve as the primary Ledger Run liaison for Sponsor and CRO contacts on all contract and budget matters

Attend weekly Sponsor and/or CRO meetings fully prepared to speak to the status of each site and provide clear, accurate updates

Remain available for ad hoc meetings with Sponsors and CROs to provide real-time insight into contract and budget progress
Quality control

Perform final QC of all contracts and budgets before agreements are routed for signature

QC Meeting Minutes and the study tracker prior to distribution to Sponsors and/or CROs

Oversee all contracts through the signature process through to fully executed status
Document & repository management

Save all new contract and budget iterations to the study repository in a timely manner

Distribute applicable study documents — including protocol versions, insurance certificates, and study manuals — to negotiators to support site-level negotiations

Upload final and fully executed agreements to Ledger Run's repository and any applicable Sponsor and/or CRO repositories
Operational & resource management

Partner with the Executive Director on resourcing decisions, translation requests, and template development needs for assigned studies
